Vendor Guidelines

Welcome Vendor!

Thank you for your interest in participating in our event. These Vendor Guidelines are intended to ensure a safe, organized, and successful experience for vendors, attendees, and the community. We appreciate your cooperation in following these policies so that the event runs smoothly for everyone involved. As a courtesy to our visitors and fellow vendors, all participants are required to remain fully set up and open for business during posted event hours. Early breakdown or departure is not permitted. Maintaining consistent operating hours helps create a positive experience for attendees and supports the overall success of the event. We thank you for your professionalism and partnership in making this event enjoyable for all.

Booth Content and Display Standards

  • Booth spaces measure 12' x 12' and are typically adjacent to other vendors. Please be mindful of neighboring booths and keep all displays, equipment, and materials within your assigned space and clear of walkways.

  • Vendors are responsible for providing their own setup and display materials. The Chamber does not supply tents, tables, chairs, electricity, or labor for booth setup or breakdown.

  • Vendors requiring electricity must provide their own small generator. For safety reasons, generator cords may not cross main walkways.

  • The Chamber does not endorse or discriminate against any individual or group on the basis of gender, race, religion, political affiliation, socioeconomic status, or any other protected characteristic.

  • All booth displays, merchandise, demonstrations, educational materials, and entertainment must be appropriate for a family-friendly environment. The sale or display of illegal items, drugs, drug paraphernalia, hazardous materials, or items that promote hate, violence, or explicit/mature content is strictly prohibited.

Operating Permits

All vendors are required to obtain and maintain the appropriate licenses and permits necessary to operate. This includes, but is not limited to, a valid resale certificate and any required permits from the Siskiyou County Health Department. It is the vendor’s responsibility to ensure all required documentation is current and available at the event.

Booth Assignments

  • Booth assignments are determined at the sole discretion of the Chamber and are based on the overall needs of the festival. Booths are not assigned on a first-come, first-served basis.

  • Vendors may request specific spaces on their application; however, placement is not guaranteed. While we make every effort to accommodate individual location preferences, final assignments are made to ensure a balanced vendor mix and to avoid placing similar businesses together. For this reason, please provide a concise but thorough product description on your application so we can appropriately place all vendors.

  • Booth layouts may vary from event to event. Vendors may be arranged in new formations to enhance the overall experience and provide broader exposure opportunities for vendors.

  • Booth locations may not be changed or switched without prior authorization from the Chamber. Because event setup involves extensive coordination and time-sensitive logistics, we are unable to accommodate booth relocation requests on the day of the event. Thank you for understanding and respecting your assigned space.

Booth Set-Up

  • Setup Times: For Mushroom Festival and Apple Harvest - Friday 6-9pm and/or Saturday 8am-9:45am; for Flea Market - Saturday 6-9pm and/or Sunday 8am-9:45am; Christmas event vendors - 7:30 to 9:30 on the day of the event

  • If you arrive before 6pm on Friday, please do not park on Main Street, as the area must remain clear for booth space marking and event preparation.

  • When setting up after dark or early morning, please be courteous and keep noise to a minimum out of respect for nearby residences and hotels.

Vendor Parking

  • All vehicles must be removed from Main Street, Division Street, Lawndale Court, and Pine Street no later than 9:30am on Saturday. Vehicles must be parked outside of all event barricades prior to this time.

  • Any vehicle found within barricaded areas after 9:30am will be towed at the owner’s expense.

  • If you require your vehicle to remain near your booth for medical reasons, this must be disclosed at the time of booth registration for prior approval.

  • Please note: Vendor parking in hotel, bed and breakfast, or vacation rental guest parking lots is strictly prohibited unless you are a paid guest of that property.

Animals

  • We advise vendors to refrain from bringing pets to the event.

  • For safety reasons, do not leave food or edible items unattended overnight. Wildlife, including bears, may be attracted to food left out, creating a hazard for vendors and visitors. Please store all food securely when your booth is not staffed.

Clean Up

  • All vendors are responsible for cleaning their assigned booth space at the conclusion of the event. Your area must be left free of trash, debris, and materials.

  • Dumpsters will be available for vendor use. Please break down all boxes before placing them in the dumpsters to help conserve space.

Payments and Refunds

  • Vendor spaces are limited and assigned on a first-paid, first-served basis. To secure your space, payment must accompany your application. Unpaid applications do not constitute a reservation.

  • Cancellations made within 7 days of the event are non-refundable. No exceptions will be made.

Vendor Liability & Weather Disclaimer

  • The Chamber is not responsible for any loss, theft, damage, or injury occurring before, during, or after the event. This includes, but is not limited to, theft, vandalism, property damage, personal injury, or weather-related incidents.

  • Vendors assume full responsibility for their booth, merchandise, displays, and equipment, and agree to hold the Chamber harmless from any claims or damages.

  • Please note that the event is held in a mountain community, which may experience extreme or unpredictable weather conditions. Last-minute changes to the event setup or schedule may be necessary due to circumstances beyond the Chamber’s control.

Agreement & Enforcement

  • Payment for your booth space constitutes acceptance of these Vendor Guidelines. By completing payment, you agree to comply with all rules and policies outlined herein.

  • Violation of any guideline may result in immediate removal from the event and may bar you from participating in future Chamber events.
